Though every school operates differently, our implementation process follows a proven framework that’s customized to your needs.

Before the transition

It’s important for our team to understand your school’s HR priorities. Our pre-implementation questionnaire helps us learn more about your current staff structure, school calendar, compliance requirements, and other processes. We also gather important documentation like your employee handbook and benefits plans. This information gives us a better understanding of what your school needs and who we’ll collaborate with during check-ins.

Weeks 1-2: Kickoff and planning

Your implementation begins with an introduction to the dedicated service team supporting your school, including a School Account Manager (SAM), SHRM-certified HR Business Partner, and Implementation Manager. Your SAM and Implementation Manager work together to outline a transition timeline, mapping out go-live dates and the actions needed to hit those deadlines. 

While developing this roadmap, both managers confirm your school’s implementation goals and daily HR operations stay on track throughout the process. We also review available employee benefits options and discuss strategies that can help engage and retain staff.

Weeks 2-3: HR technology setup and training

Technology should make HR easier, not create another layer of work. Your SAM works with your dedicated support team to develop an integration plan for your SchoolCloud® tech platform. We verify which school leaders need admin permissions and collect key payroll data like personal employee information and base wages.

Your administrators receive hands-on training about SchoolCloud®’s reporting dashboard, automations, digital documentation management, certification tracking, and other self-service features. This early introduction to the platform’s tips and tricks sets your team up for a more intuitive and user-friendly experience once everything goes live. 

Weeks 2-5: Benefits enrollment and orientation

Employee benefits play an important role in helping schools attract and retain talented employees. During this stage, your SAM will walk through the options available to your school, which may include health insurance, 401(k) savings plans, disability coverage, life insurance, and family growth services. We make sure each plan complies with applicable Affordable Care Act (ACA) and COBRA requirements, plus any relevant state and local mandates. 

During open enrollment, employees can participate in SAM-led meetings where they can learn about their options and get answers to their questions. Our team can also help develop and organize handbooks, policies, benefits materials, and other communications so employees understand what their benefits include.

And that support doesn’t end when enrollment does. Your benefits team remains available to help your school evaluate and manage its plans as employee needs evolve.

Weeks 4-5: First payroll run

Before going live, ExtensisHR runs two payroll processes with your school administrators to make sure everything is secure and accurate. We will review your initial invoices and reports to confirm wage-related data has been properly recorded and identify opportunities to make the process even more efficient.

After these initial runs, your dedicated Payroll Specialist takes the lead on payroll while your SAM keeps you informed with performance updates and reporting. 

Week 6 and beyond: Your solution goes live

Your school’s PEO implementation process ends, and your ongoing partnership begins!

Your dedicated service team continues to support your school across HR, payroll, recruiting, benefits, and compliance, helping reduce the administrative workload on your internal team. Admin users can also turn to our Employee Solution Center (ESC) for extra help with system inquiries and general questions about employee operations. 

We closely monitor industry HR trends and labor laws, so your school’s policies and practices stay compliant and meet sector expectations. We also schedule monthly or semi-monthly check-ins to review how things are going, address questions, and make sure your services continue to align with your HR goals.
